WAVE IS HIRING: PARTNERSHIPS AND LOGISTICS COORDINATOR
WAVE is looking for a Partnerships and Logistics Coordinator to begin at the start of September. The role is based in Thessaloniki, Northern Greece and will require you to oversee and manage all aspects of supplying the centre with the necessary stock whilst keeping in accordance with budget lines, and facilitate the smooth cooperation with other actors in our community centre space. It will be the task of the Logistics and Partnerships coordinator to ensure that all things related to the building and property of WAVE are kept in good, working order.
WAVE has recently undergone a strategic redesign and is looking for somebody who can support the organisation in expanding the reach of the community centre so that it can be utilised by other groups and for other projects. The person in this role will be required to liaise with external organisations to establish smooth communication, memorandums of understanding, and the delivery of new services in the space. Your presence in the centre will be crucial in managing a team of volunteers, ensuring that all day-to-day tasks are well organised and completed ahead of distribution.
Tasks of the Partnership and Logistics coordinator include:
- Going to markets, bakeries, shops and the local warehouse to manage and coordinate the stock of materials necessary for Wave’s operations
- Using accounting software to manage and keep track of the organisation’s expenses, with the support of our accountant
- Managing the daily organisation and running of the community centre as we move to share the space with additional external organisations.
- For this, you will be required to communicate effectively with organisations around the city and create opportunities for additional activities.
- You will also be required to maintain these relationships, facilitate the organisation of the space and build networks.
Start Date: September 2024 (ASAP)
Minimum Commitment: 9 months (one month probationary period), full-time
Key Responsibilities:
- Ensure that the daily operations of Wave Thessaloniki run smoothly, in collaboration with other coordinators.
- Acting as a focal point for communicating with external partner organisations, and to ensure effective operations in the space.
- Maintaining good relationships with partner organisations and forging new ones.
- Logistics tasks and overseeing all aspects of supplying the centre with the necessary stock, including stock monitoring and management.
- Managing any issues related to the building or other property of the project e.g liaising with local actors to sort out any potential plumbing or electrical issues, liaising with donors and other actors to facilitate and improve the services offered.
- Fleet maintenance.
- Monitoring expenses using accounting software (Quickbooks) to ensure budgetary lines are maintained
- Coordinate distributions alongside the other coordinators, and alone on their days off.
- Managing and/or signposting particularly vulnerable cases or emergencies (e.g. unaccompanied minors), in collaboration with other coordinators.
- Demonstrate a strong understanding of and commitment to confidentiality when engaging with the team whilst adhering to safeguarding policies where confidentiality may impact the safety of the community, volunteers, or Wave.
- Participate in shifts in the centre up to 4 days a week so you have a consistent presence in the community space.
- Attending monthly partner meetings and weekly open coordination meetings.
- Arranging and carrying out 1:1 check-ins with all volunteers (after the first week or two of volunteering and after that monthly). Check-ins and exit interviews are divided amongst all coordinators.
Requirements:
- Excellent communication skills.
- Fluency in English and strong written communication skills.
- Experience in working with people-on-the-move/refugees or in a similar field of working with vulnerable people.
- Ability to stay in Greece for 9 months or beyond.
- Drivers licence, ability and willingness to drive a manual van.
- Ability to work under pressure in a fast-paced and dynamic environments.
- Good prioritisation and organisational skills.
- A developed understanding of boundaries and safeguarding.
- Team player.
- Experience managing a team.
Desired:
- Proficiency in Greek language is strongly desired for this role.
- Experience in organising and leading distributions.
- Experience of working with multiple different partners to deliver project objectives.
- Experience with mediation and conflict resolution is preferred.
- Knowledge of Farsi, Arabic or French is also useful.
- Experience working in a kitchen environment, ability to cook is desirable.
- Experience working with accounting software.
- Experience working closely with community members.
- An understanding of the ongoing situation for people-on-the-move in Europe, especially at the borders.
What we can offer:
- A monthly stipend of €750.
- Unfortunately at this time we are unable to offer a Greek employment contract. We can either pay a stipend through the reimbursement of receipts or pay the invoices of an individual registered as a freelancer in Greece. For the latter option, we will also pay the tax incurred on top of the €750.
